Control Specialist

This is a full-time, non exempt position that reports to the Chief Operating Officer.

The Operations Control Specialist is responsible for ensuring the accuracy of inventory records, the accuracy of operations documentation records and standards of procedures in warehouse operations. This position will provide support to the Chief Operating Officer, and work cooperatively with other Operations Management staff positions to ensure the complete and accurate operational documents are maintained, stored, revised and updated on a continuing basis.
 
Essential Job Duties
  • Take primary responsibility for electronic and paper records of donor transactions, and records of driver-generated Agency Orders, ensuring that entries are posted in a timely and accurate manner. Ensure prompt filing of records.
  • Perform electronic inventory control, physical inventory audits, cycle counts, reporting and research including reconciliation of variances as requested by the Chief Operating Officer or Chief Financial Officer.
  • Create and or utilize existing product item cards to identify specific products for proper inventory controls, ensuring correct product description, weight, pack size, nutritional values, and program, etc.
  • Work cooperatively with the Warehouse Receiving and Inventory Associate to coordinate inventory receiving paperwork, daily product movement plans, inventory item cards and general inventory controls.
  • Meet all inventory reporting requirements for CSFP, TEFAP, FDPIR, CACFP, SFSP, Feeding America and other programs as assigned.
  • Create timely acknowledgments for all food donations. Work closely with the Development and Communications Department to ensure that food donors are recognized and acknowledged appropriately.
  • Meet all Food Bank of Alaska Donation Order inventory reporting requirements, as well as produce donor reports, including those for local donors as well as for Feeding America.
  • Assist the Warehouse Manager(s), Logistics Manager, Driver Manager and Chief Operating Officer in maintaining other required documentation for the AIB Food Safety program, Driver and Fleet records, Food Bank of Alaska Leasing files, as well as Standard Operating Procedures as required.
  • Crosstrain in other functional areas to develop a complete understanding of procedures for incoming and outgoing inventory, cycle counts, financial record keeping and reporting to Feeding America and other government agency programs.
  • Work closely with all Food Bank of Alaska staff to promote a culture of philanthropy.
Other Job Duties

Qualifications & Skills
  • Bachelor’s degree or equivalent experience. Food industry or non-profit experience a plus.
  • Basic knowledge of accounting, inventory, controls, operations, practices, procedures, and standards
  • Strong organizational skills, including demonstrated capacity to create systems. Able to work with data, spreadsheets, reports, and schedules.
  • Ability to successfully pass a criminal background check as required.
  • Friendly, outgoing, dependable, consistent, a team player willing to help wherever it is needed.
  • Good communication skills, both written and oral.
  • Good interpersonal and public relations skills.
  • Good math skills.
  • Must be 21 years or older with a valid Alaska Driver’s license and clean driving record.
  • Two years of experience in database programs; experience with inventory management software a plus. Solid computer skills in all office software, including Microsoft Word, Outlook and Excel.
